Cancellation & Refund Policy

We plan this retreat months in advance and reserve accommodations, meals, guides and local partners on behalf of every participant. Because spaces are limited, the following policy applies to all registrations.

Deposits
The 50% deposit is non-refundable. It secures your spot and your room type, and allows us to commit to our partners in Panama.

If you cancel on or before January 7, 2027
Your deposit may be applied as a credit toward a future Grit City Wellness retreat within 12 months. Credits are non-refundable and non-transferable to cash.

If you cancel after January 7, 2027
Once final payment is due, no refunds or credits will be issued, whether or not the balance has been paid.

Transferring your spot
You’re welcome to transfer your registration to another woman at any time, up to 14 days before the retreat begins. Contact us to confirm her details, and she’ll need to complete registration and any required waivers.

Private room upgrades
Private room upgrades are non-refundable once confirmed, due to their limited availability. They transfer with your registration if you send someone in your place.

Missed days and early departure
No refunds or credits are given for late arrival, early departure, or any meals, sessions or activities you choose not to take part in.

Travel insurance
We strongly recommend purchasing travel insurance when you book your flights, ideally a policy with “Cancel For Any Reason” coverage. It can protect your retreat payment, airfare and personal belongings in case of illness, emergency or travel disruption. Grit City Wellness is not responsible for airfare, travel costs or other expenses you incur.

If we cancel the retreat
If Grit City Wellness must cancel the retreat for any reason within our control, you’ll receive a full refund of all retreat payments made to us.

Events beyond our control
If the retreat is canceled or changed because of circumstances beyond our control, we’ll offer a credit toward a future retreat of equal value. This includes natural disasters, severe weather, government travel restrictions, public health orders, political unrest and similar events. Any portion of your payment we’re able to recover from our partners may be refunded. We may also adjust the itinerary or activities when needed for safety or weather. These changes don’t qualify for a refund.

Agreement
By submitting your deposit, you confirm that you have read and agree to this policy.
